Registration Guidelines

Start your registration for ESOF 2004 by reading the below guidelines for registration, payment and hotel reservation.

The On-Line Registration is now closed! You are welcome to register on-site, at Folkets Hus:
Wednesday 25 August: 09.00 - 20.00 hrs
Thursday 26 August: 07.45 - 19.00 hrs
Friday 27 August: 07.45 - 18.00 hrs
Saturday 28 August: 07.45 - 14.00 hrs

Fully accredited members of the press are invited to attend the Forum free of charge! To get free entrance to ESOF2004, you have to bring your official media accreditation!

Registration Fees, Scientific Programme (Euro €)

Including 25% VAT
Registration fees paid by non-taxable entities (institutions/organisations etc) and private persons within the European Union.
All registration fees paid by participants or companies within Sweden.
All registration fees for accompanying persons.

Excluding VAT (fees in brackets)
All registration fees paid from countries outside the European Union.
Registration fees paid by companies and other taxable entities within the European Union. Please note that according to Swedish law, your company VAT No. must be stated on your registration form.

1) Post-doctors = a person who recently got his/her Doctor degree
2) School Teachers = teachers for children 6-18 years old
3 ) Emeriti= Professor, retired of age, but still active within the field of science

How to become a Euroscience member and save money!
Euroscience as initiator of ESOF2004 is offering its members to register for ESOF 2004 at a fee reduced by 50 € (when paying the regular entrance fee)! As the annual contribution to Euroscience is 40€, you save 10€ by being or becoming member of Euroscience.

You can easily submit your inscription to Euroscience by using the on-line registration at the Euroscience web or by sending the form in print version to the Euroscience office (fax : + 33 3 88 24 75 56). After you have become a Euroscience member you are welcome to register on-line for ESOF2004 at reduced fees! Please note that you still have to register on-line for ESOF2004 also if you want to coBeing a Euroscience member does not only permit you to inscribe you at a reduced fee for ESOF2004, it actually entitles you to participate in the shaping of the scientific Europe and to receive the quarterly Euroscience News that keeps you in touch with important science initiative across Europe. Euroscience is a pan-European Association present in 40 European Countries. It is a European grass-roots organisation that represents scientists of all disciplines (including social sciences and the humanities), in the public sector, universities, research institutes, as well as industry and business. Join Euroscience and participate in the formation of an open-minded and prosperous European research area!

What is included in the fee?

The registration fee for delegates includes:

• admission to the Forum and to the exhibition
• programme book

Swedish tax legislation requires participants to pay their registration fee either including or excluding Swedish VAT. Therefore, please identify your category below and choose the appropriate alternative on the registration form. Please note that Sweden is not a member of the European Monetary Union.

General information

• Speakers
  Note! As a speaker you need to start your online registration by selecting category "Speaker" in the drop down menu on page 1.
• Committee Members and Special Invited
  Committee Members and other special invited persons are welcome to attend the Forum, including all scientific sessions, free of charge. On-line registration is NOT necessary.
• Press
  Fully accredited members of the press are invited to attend the Forum free of charge. Applications for participation should include a registration on-line ( Note! As a member of the press you need to start your online registration by selecting category "Press" in the drop down menu on page 1) or by filling in the special registration form for the press and send it by fax to Congrex: +46 (0)8 661 91 25). You also have to fax a copy of your official media accreditation to Congrex at +46 (0)8 661 91 25. Members of the press are invited to attend all scientific sessions.
• Students
  Applications for student fee should include an on-line registration AND a proof of your student status (a photocopy of the university identity card) faxed to Congrex at +46 (0) 8 661 91 25.
• Confirmation
  In order to receive confirmation of registration on e-mail, please make sure o indicate the e-mail address on the registration form! Confirmation will be sent upon receipt of payment.
• Alterations
  Alterations to your registration must be made in writing and sent to Congrex by fax, post or e-mail.

Hotel Information

Hotel reservations can be made on the on-line registration form. The hotels are all situated in the city centre of Stockholm and the venue (Stockholm City Conference Centre, Norra Latin) is accessible with public transportation. All hotel rooms in all categories have private bath with shower or tub, telephone, television, pay-TV and breakfast facilities.

Hotels and Rates
The rates below are in SEK, per room, per night, including full breakfast buffet, tax and service. Please note that the hotel bill will be settled in Swedish Crowns (SEK), but the deposit will be paid in EUR € to Congrex. The deposit amount paid in EUR € will be converted into SEK 2 weeks prior to the Forum. This amount in SEK will be deducted from the total hotel bill.

* Please note that this is only a deposit. If the actual cost is less than the requested deposit, we will only charge the actual cost.

Hotel accommodation will be reserved and confirmed only when Congrex has received your hotel deposit, as indicated above. The deposit will be deducted from the hotel bill when checking out of the hotel.

Congrex reserves the right to book another hotel category if the desired accommodation should be fully booked.

To ensure that the hotel reservation will be made as required, please pay the appropriate deposit upon your on-line reservation as soon as possible but no later than 8 July, 2004. After this deadline Congrex cannot guarantee a hotel room or the preferential rate. After this date accommodation requests will be confirmed according to availability.

The hotel reserves the right to charge you for all nights reserved and guaranteed on the registration form, should you check out before confirmed departure date or in case of no-show.

All reservations are handled by Congrex. Possible changes of your hotel reservation as well as cancellation must be made in writing to Congrex. Please do not contact the hotel directly.

Payment

Please indicate your name and the payment reference number 0433 on all money transfers.

Congrex will not be responsible for identifying funds transferred directly into the account when the name of the participant or invoice number is not mentioned, nor will Congrex accept charges of bank fees associated with the transfer.

Payment should be made in advance by one of the following methods:

• American Express, Visa or Eurocard/Mastercard may be used for all charges. Please indicate card number and expiry date on the registration form.

As from 3 weeks before the Forum, we only accept credit card as payment.

Admission to the Forum is granted only if Congrex has received the registration fee. Delegates, who have made late payments, should bring a proof of payment to the registration desk at Stockholm City Conference Centre, Norra Latin. Failure to produce this on request gives Congrex the right to charge the amount to your credit card.

Cancellations and Refunds

Cancellation of Registration
Notification of cancellation must be made in writing and sent to Congrex. Cancellation of registration will be accepted until 8 July, 2004, up to which date the total amount will be refunded less EUR 25 for administrative expenses. For cancellations made after 8 July, 2004 we regret that no refunds can be made.

Cancellation of Hotel Reservation
Notification of cancellation must be made in writing and sent to Congrex. Cancellation of any hotel reservation will be accepted until 8 July, 2004, up to which date the hotel deposit will be refunded less an administration fee of EUR 25. We regret that the hotel deposit cannot be refunded after 8 July, 2004.
